What is this Privacy Notice for?

This privacy policy is for the website www.thedotproject.co.  It applies to all users of this website.  In this notice we explain how we approach user privacy and outline the responsibilities of the users, the website and the website owners.  We also explain how the website processes, stores and protects user data.

Section 1 – The information we collect

1.1 What information do we collect from you?

Website contact form

If you contact us via our website contact form we collect your name, email and phone number.  This information is captured initially on WordPress.org. WordPress.org host our website. When you send a message via the website contact form we are alerted via email that you have contacted us.  Your information is then transferred to our Gmail accounts and HubSpot. We store your information on our GMail and HubSpot for as long as is required for the purposes of responding to your contact message.

Note: Gmail is an email service supported by Google.

Hubspot is a software platform where we track and store communications with contacts.  We do this to ensure a high level of customer service and to avoid duplication or overlap of communication.  Your information will be removed from Hubspot once we have finished dealing with your contact request, however you can remain on the platform if you provide us with your consent.  Within 4 weeks will contact you specifically to ask for this consent after dealing with your initial contact request.

Information about website visitors

We collect information from our website visitors which is anonymous, meaning you cannot be personally identified from this data. This information includes:

  • The type of web browser you use
  • Your language preference
  • Referral information – this means information about which site you came from when you visited our site.
  • The date of your visit
  • How long you spent on the site
  • Which pages you visited

1.2 Why do we collect this information?

We collect your name, email and phone number to enable us to respond effectively to your message.  We collect your phone number in case we are unable to reach you via email.

Information about website visitors

We may aggregate some of the information we collect on our website visitors to track and understand how website visitors are using our website.  This enables us to focus on content which our users find engaging and make necessary updates if we find parts of our website are difficult or challenging for users.

We use this aggregated data internally and we may share it with third parties (ie. other people or organisations outside of The Dot Project) to inform our branding, marketing or website approach.  This information does not include any personal or sensitive data.

1.3 Who might we share your information with?

We will not share your name, email address or phone number with anyone unless we have asked for your permission to do so.  For example you may contact us with a question which leads us to suggest we connect you with a person or organisation in our network, in this circumstance we would ask your permission first before sharing your information.

1.4 How long do we keep hold of your information?

The information we collect via the website contact form will be deleted once we have responded to, and dealt with, your contact request.  Before we delete your information we will ask you if you would like to remain on Hubspot, our contact database.

Section 2 – Cookies

2.1 What are cookies?

A cookie is a string of information that a website (in this case www.thedotproject.co) stores about a website visitors computer.  When a user visits our website if the cookies are enabled their computer browser provides information to the website www.thedotproject.co.    

2.2 Why do we collect information from cookies?

We use cookies track how visitors use our website and what their preferences our to improve how our users engage with our site.

We use Google Analytics which uses cookies to track visitor usage. This does not store, save or collect personal information.

2.3 How can you disable cookies?

If you do not want to share information via cookies you can change the use of cookies on your computer or device.  You will need to access your web browser security settings to block cookies.

3. Links to other websites and resources

We endeavour to use external website links which are safe and secure however we advise you access these links with caution as we are not responsible for the quality of external links.  Therefore you access these links at your own risk. These links may be to other websites or online resources which are relevant to our content.

4. Social Media Platforms

On our website we provide a live twitter feed of our account for The Dot Project (@thedotprojectco) and Tech for Good Bath (@techforgoodbath).  In future we may include additional social media feeds such as Instagram.

We will never ask for personal or sensitive information via our social media channels.  We recommend that if you wish to discuss a matter which is personal or sensitive you communicate via email or phone.

We may retweet interesting or relevant tweets from your Twitter feed but we will not intentionally retweet offensive tweets or tweets containing sensitive or personal data.  

Sometimes we may tweet links to other websites and resources via our twitter feed.  Often we use shortened links which start like this: http://bit.ly…  We advise you access these links with caution as we are not responsible for the quality of external links.  Therefore you access these links at your own risk. These links may be to other websites or online resources which are relevant to our content.
